From disconnected spreadsheets to a live accountability platform — built from the ground up.
A large Texas school district needed a custom system to track student accountability data, automate communication, and give administrators real-time visibility into what was happening across their campus — before problems became crises.
Note on attribution: This system was developed as a consulting engagement with Garland ISD — identified as an operational need and delivered as a custom solution outside the scope of any standard role.
The Challenge
Critical accountability data scattered across systems — with no way to see the full picture in time to act.
The district was tracking essential student accountability data — attendance, truancy, loss of credit, STAAR scores, TSI results, CCMR metrics, and more — but that data lived in separate systems and required significant manual effort to pull together. By the time reports were assembled, the window to intervene had often already passed.
Staff were spending hours combining spreadsheet exports, reformatting data, filtering for specific groups, and sending manual notifications. The process was slow, error-prone, and left gaps in visibility that directly affected student outcomes.

The Solution
Two interconnected tools — built as one platform.
The system was built in two integrated parts: a Student Monitoring System for searching and tracking individual students across accountability metrics, and an Attendance & LOC Reporting Dashboard for campus-wide visibility into absences, tardies, makeup hours, and loss of credit status.

Automated student and family notifications
Emails automatically triggered based on time missed thresholds — notifying students and families of absences, tardies, and makeup hour requirements without manual intervention.
Loss of credit and makeup time tracking
The system calculates time missed, time needed to make up, and credit status per student — automatically, in real time.
Drill-down problem detection
Administrators can identify where problems are concentrated — by teacher, period, campus area, or student group — and act before situations escalate.
Live data — no manual updates required
The platform connects directly to district data sources and updates automatically. Staff no longer need to pull, combine, or reformat anything.

What previously required hours of spreadsheet work — and still produced unreliable results — is now a live, accurate platform that campus administrators access daily. The system gave the district the visibility to identify at-risk students earlier, communicate faster, and manage compliance data without the manual overhead that had defined the process before.
